Keep track of which homes are rented, the leases on file and when they end, and how the community stands against the board’s rental cap.

Marking how a home is occupied
Open a home from /admin/properties. The drawer has an Occupancy & leases section, where you set the home to Owner occupied, Rental, Vacant or Not set. Every home starts as Not set.
Recording a lease
Press Add lease in the same section and enter the tenant’s name, an email and phone if you have them, the start date, and an end date. Leave the end date blank for a month-to-month lease. Adding a lease marks the home as a rental.
When a tenant moves out, End lease closes it as of today and moves it under Past leases, so the home keeps its history. Delete is for a lease entered by mistake; it removes the record entirely.
Lease status
Each lease shows a status worked out from its dates in your community’s time zone: Upcoming before it starts, Active, Expiring soon in its last 60 days, Expired once the end date has passed without the lease being ended, and Ended after you close it out. When any open lease is expired or expiring, the Properties page shows a banner that links to the Rentals & Leases page.
The Rentals & Leases page
/admin/rentals (Admin → Rentals & Leases) is the board’s summary. It shows how many homes are rentals, the cap form, and every open lease, expired and expiring first.
Two lists catch records that disagree: rentals with no open lease, and leased homes not marked as rentals. Either usually means a lease was never entered or a home’s occupancy was never updated.
The rental cap
If your governing documents limit how many homes may be rented, enter that limit as a Number of homes or a Percent of homes. A percent is taken of the community’s active homes and rounded down to whole homes. The page then shows rental homes against the cap; choose No cap to just see the count.
Who can see it
Rental tracking is board-only. Occupancy, leases and tenant contact details need the Users module’s admin permission, and residents never see them. Rentals & Leases is part of the Community plan and above. Every lease change, occupancy change and cap change is written to the audit log.
